Facility HIM Coordinator – CJW Medical Center
Parallon is an affiliate of Hospital Corporation of America (HCA Holdings, Inc.) and is a leading provider of healthcare business and operational services.  Parallon supports healthcare providers in the areas of revenue cycle (billing, collections, and denial management), technology, patient registration, insurance verification, and health information management.
The Facility HIM Coordinator, you will work under the direction of a shared Facility Health Information Management Leader, the Facility HIM Coordinator will assist as needed in the day-to-day HIM departmental clerical activities (e.g. working the Horizon Patient Folder (HPF)/McKesson Patient Folder (MPF) workflow queues, resolving unbilled accounts, facilitating the physician suspension process, etc). This position will serve as the on-site initial point of contact when the HIM Leader is off-site for the Facility Leadership and the Medical Staff. The Facility HIM Coordinator will serve as facility liaison to the Facility HIM Leader and Regional HIM Director as needed.  This is a Full Time opportunity, working Monday through Friday, from 8:30AM to 5:00PM.
Duties (included but not limited to):
  • Initial on-site point of contact when HIM Leader is off-site for Facility Leadership and Medical Staff.
  • Assists Facility HIM Clerks and Birth Certificate Clerks with questions.
  • Assists Facility HIM Leader in employee training and development.
  • Enters applicable unbilled reason codes (URCs) into HPF and MEDITECH on a daily basis.
  • Adheres to documented and established workflow guidelines as it relates to managing facility
  • HPF/MPF work queues.
  • Assists in the processing of walk-in requests for Release of Information.
  • Requests and returns paper records from off-site storage as applicable.
  • Retrieves discharged medical records from various nursing units and ancillary departments as needed.
  • Assists in reconciling retrieved medical records against patient discharge listings working closely with patient care units to ensure receipt of all records no later than the morning after discharge/visit.
  • Ensures that facility based HIM function productivity and quality standards are maintained or exceeded.
  • Assists physicians in record completion activities.
  • Provides training and education of record completion enabling technology (hCare/Portal/MEDITECH).
  • Routes loose reports and/or late documentation to document imaging for scanning as needed.
  • Retrieves and prints medical records from microfilm as applicable.
  • Assists in opening HIM mail and routes medical record requests to Release of Information for processing.
  • Maintains or exceeds established productivity standards while achieving or exceeding established requirements for accuracy.
  • Assists in physician suspension process and delinquent record management
  • May assist with facility unbilled activities such as physician query follow up, physician incomplete record follow up, and working the applicable unbilled management reports and queues (e.g., DET/eRequest, Bill 49).
  • Serves as point of contact for HIM Leader in their absence.
  • Practices and adheres to the “Code of Conduct” philosophy and the “Mission and Value Statement”.

Job Requirements

  • High school diploma or equivalency preferred

  • Minimum of one of HIM department experience with a concentration in incomplete record  management is strongly preferred
